We are seeking a responsible, motivated Front Desk Administrative Assistant to be the welcoming face of our office and provide vital support to our clients, staff, and the law firm with which we share our space. The ideal candidate will demonstrate professionalism, confidentiality, sound judgment, strong organizational skills, and a willingness to learn and take initiative. Reporting directly to the Executive Director, this role includes a variety of clerical and administrative responsibilities, such as managing physical and digital filing systems, operating office equipment, and assisting with other office tasks to keep daily operations running smoothly.

Duties include, but are not limited to:

  • Manage the front desk/reception for two partner agencies including incoming calls and in person clients;
  • Greet all clients and visitors in a welcoming, professional, and positive demeanor;
  • Prepare correspondence, reports and other documents relevant to the partner/client;
  • Assist with light accounting functions including processing AP/AR as necessary;
  • Managing the master calendar including shared conference rooms and common areas;
  • Communicate in a professional manner with clients both verbally and in writing;
  • Maintain client files in both electronic and hardcopy format including gathering and indexing;
  • Maintain office, breakroom, and conference rooms for both supplies and cleanliness;
  • Handle documents and tasks related to faxing, archiving, scanning, filing, and word processing

The ideal candidate will possess the following:

  • Minimum of three years of administrative experience in a professional environment
  • College degree preferred (bachelor's degree in HR, Business, or a relevant field highly desirable)
  • Valid CA Driver’s License, reliable transportation, and vehicle insurance.
  • Excellent customer service skills both over the phone and in person
  • Strong computer skills, including Microsoft Office Suite, Adobe, Zoom, and other conferencing platforms.
  • Attention to detail and strong organizational skills with an ability to multitask while maintaining accuracy.
  • Critical thinking skills, understanding of confidential and proprietary information.

This position offers a competitive salary between $20 - $24 per hour based on experience with an excellent benefit package, including health, vision, dental and 401(k) with employer matching.
