Preparation of correspondence, memorandums, rosters and logs. Prepares and publishes CommNet messages for State distribution. Creates and maintains all electronic administrative files and sub-files. Process all forms and documents related to Area Accident/Injury/Illness records such as CHP 121, Employer's Report of Occupational Injury or Illness; CHP 121A, Supervisory Review of Occupational Injury Illness or Exposure; CHP 208, Accident Prevention Reports, STD 270, Report of Vehicle Accidents. Formats special certificates and miscellaneous reports. Responsible for monthly and annual reports including, CHP 113, Accident and Injury Report, Cal-OSHA California Highway Patrol (CHP) Record Reconciliation, and review reporting with Occupational Safety Sergeant. File management and maintenance of personnel folders for traffic officers and non-uniformed personnel. Preparation of weekly monetary collections transmittal. Maintain file labels for monthly CHP 180, Vehicle Report, yearly general files. Process photo requests. Establish Felony / Fatal retention log and maintain files for photographs and MAIT reports. Courteously and professionally answer and screen incoming telephone calls from the public, other Area Offices, and allied agencies. Maintain an accurate accounting of the Area staff location and availability. Obtain pertinent information from callers in order to direct calls to the proper Area personnel and/or provide information and/or assistance using available resources. Take down and deliver messages for all Area office staff. Check the status of stored vehicles via WebWS or the California Automated Reporting System (CARS) for collision report requests via telephone or at the front counter. Provide backup coverage to other clerical positions as necessary. Provide Clerical support to Field Officers/Area Personnel in the pulling and copying of needed reports. Greet and assist visitors at the reception counter directing them to the proper Area personnel. Check-in visitors for their scheduled child car seat installation appointment, VIN appointment, school bus driver exam, subpoena service, or vendors for deliveries. Process outgoing mail, assist with incoming mail, accept and sign for incoming mail/packages via the United States Postal Service (USPS) or couriers. Responsible for miscellaneous cashiering and sales duties, such as the sale of collision reports, stored vehicle reports, or publications. Maintain an "Incomplete" pending file, which contains requests for collision reports that are not yet ready for sale. Check the status of collision reports in the "Incomplete" pending file, which have become available for sale and for collision photographs. Complete CHP 248, Response to Accident Reports, and send reports back to requesters with their correspondence and checks. Other job-related duties within the scope of the classification.
